Each Request Portal can have its own email address. Anyone can use that email to submit a request. No need to log in or fill out a portal form. This makes it very easy for requesters who already live in their inbox (tenants, staff, vendors, external contacts). Admins can provide another means for people to submit a request via the portal and manage requests all the same way.
Admin Set-Up Guide
Before setting up a portal email, confirm your company identifier is correct. Go to Account Settings → Company to view or edit it. This identifier appears in every portal email address for your account.
To setup your Request Portals, go to Admin Settings, then the Manage Modules tab, and select the Request Portals section.
Click on the name of an existing portal or create a new one when you click on the +Request Portal button.
Toggle on "Enable Email Intake" from the portal form.
Hit Save.
The email is now live and can be copied from the Portal Email column in the Request Portals list, or from the portal's detail view.
Share the email with anyone that'd benefit from creating a request from their inbox.
The email address automatically generates from the portal's title and your company identifier, ending with @requests.clickmaint.com
Note: If you rename the portal, the email address will change and the old address will stop working. A confirmation prompt will appear before the change is applied. Re-share the new address with your requesters. |
Sending a Request
Guide
Anyone with the email address can send an email.
Enter the email subject as the request title.
Enter the email body as the request description.
Hit Send to have the request sent to the Request module ready to be managed like all other requests submitted via login or portal.
The request will show Email as the submission method in the Requested By section, along with the date, time, and sender's email address.
If your email cannot be processed as a request, you will receive a failure email with the subject: Your Request was not received. Contact your administrator for help. Note: successfully submitted requests do not receive a confirmation email.
