Request Open Portal - Submit a Request

The open Request portal allows anyone to submit maintenance requests. Admin Users must manage requests to become work orders.

Guide - Submit a Request

There are three ways to submit a request via the open portal. Anyone can use the portal URL, a unique email address, or a QR Code specific to the portal. Your organization will determine which method is best.

  1. Enter your organization's unique Request Portal link or scan the QR Code using your camera on a mobile device.

Take note of the "Instructions" section. Your organization may have specific needs when submitting a maintenance request.

2. Enter Request Details and Contact Information from the portal page.

Any field with an *Asterisk is required. All other fields are optional. If unsure, leave field blank.

Request Details

  • Upload Images/File - send a pic; it can be worth a 1000 words

  • *Title - what the request is about

  • * Description - details on the work needed; the more the better

  • Priority - urgency of work or situation

  • Location - physical location or job site

  • Category - a way of classifying work orders together

  • Needed by - requested date for work to be completed by

  • Assign to - Select the technician to complete the work

  • Vendor - outside contractor

Important

Toggle onemail notifications to get automated updates. This also allows communication with techs about your request and the work order it is linked with. The toggle on means the requester gets the following notifications:

  • Confirmation of new request submitted

  • Request declined or put on hold with comment on why

  • Request is approved with all request form details

  • Any status change on the work order linked to the request

  • A Request Comment was sent from the work order linked to the request

3. Enter your contact details. Again, if there's an asterisk, then the field is required.

  • First Name - you should know this (I hope)

  • Last Name - same with this one

  • Phone - select country from drop down then enter contact number

  • Email - contact email address notification are sent to

4. Hit Submit Request button.

The request is pending review, meaning an Admin User can now manage the request. It can be approved, declined, or put on hold. Email notifications help inform you of this.
