A

Additional Cost

  • A cost that can occur during fixing an issue on an asset. For example, an extra part for an interim fix, or an extra cost for involving additional expert or vendor. Any sort of expenditure that occurs and isn't considered as the labor or parts cost.

Admin Settings

  • Module that Admins have access to and that configurations and customization for the program and all Users are made and kept

All Users

  • Tab in Admin Settings module with the main Users list. From here, system-wide or individual User changes can be made

Assets

  • name of a module in the system that contains asset information

  • Equipment, machines, vehicles - anything that needs to be maintained and work orders are associated with

Asset Family

  • A group of objects linked to each other by the relationship Parent Asset - Sub Asset, where every Parent Asset can have several Sub Assets without a limit

Asset Reliability

  • the ability of an asset to perform under certain conditions over a specified period without breaking down

Asset Type

  • to group assets together based on kind or similarities, such as Air Handler, Pumps, etc.

Attachment

  • image or file

Assign to

  • the technician or team associated to an asset or location and typically needed to complete a work order

Category

  • To group together based on similarity or department, such as Plumbing or Electrical

Checklist

  • List if items that need to be performed by the user when conducting the work order

CMMS

  • Computerized Maintenance Management System

Comment

  • notes, message, reminder, or feedback

D

Description

  • Information that helps explain in greater detail

Due Date

  • The desired date and time by which the maintenance should be accomplished

E

Entity

  • A general term that describes a branch of business that has several locations holding single or multiple assets. E.g. a company has two plants (entities) in different cities, states, or countries. There are different management and technician teams that work on those plants.

Files

  • Important documents and records being tracked that are used for maintenance and asset management

General Settings

  • Global and entity settings

Images

  • Pictures associated to assets, locations, or record being tracked

Inventory & Parts

  • name of a module in the system that contains all the inventory and part information

  • Spare parts and materials (consumables, non-consumables). Technicians consume them during the execution of work orders

L

Labor cost

  • The expenditure incurred by the technician for completing a work order. A number of hours worked multiplied by the corresponding rate

Life Expectancy

  • the average amount of time given to asset to function

Location

  • Specific space within an entity (buildings, floors, rooms, areas)

Locations

  • name of a module in the system that contains all the location information

Manage Modules

  • Tab in Admin Settings module where admins can configure and customize module data

Manufacturer

  • name of company that made a product or asset

Measurement Unit

  • a way of grouping objects together based on a measurement such as height, weight, size, amount, or even capacity

Model Number

  • a number associated with an asset given by the manufacturer

Notifications

  • notices or messages sent via text or email about requests, work orders, parts, or reports

P

Parent Asset

  • an asset that only has sub-assets and no parent

Parts

  • a piece or segment of an asset that's typically replaced

Parts cost

  • A cost of spare parts and materials used for completing a work order

Preventive Maintenance or PM schedule

  • Scheduled or planned work order (time-based or meter-based). Meter-based is out of the MVP scope.

Priority

  • Level of severity or importance of a work order. There are 5: None, which means undefined, then Low, Medium, High, and Critical being most important

PM

  • name of a module in the system that contains all the Preventive work order information

  • one of two types of work orders in the system that's used for regularly scheduled, re-occurring maintenance activity

PM Schedule

  • automated creation of preventive work orders

Purchase Cost

  • the initial amount to buy in a currency

Purchase Date

  • Date the asset was bought

Q

QR Code

  • A type of barcode associated to an asset or location, which a device is used to read code and provide information

R

Reactive

  • One of two work order types. Reactive work orders are manually created for unplanned or adhoc maintnence for an asset or location

Replacement Cost

  • the amount to replace an asset of the same or equal value

Reporting

  • anme of a module in the system that uses KPIs and historical data to display and provide information on program usage

Reports

  • Give insights into all maintenance activities being tracked in the software, historical summary, cost breakdown, downtime, open work, work completed by technician or vendor, inventory on-hand, inventory consumed. KPIs and metrics

Requests

  • Maintenance requests submitted by employees, requests to have work done but needs to be approved and assigned by a manager. Once approved, the request becomes a work order

Request Portal

  • a customizable public portal that allows people to submit maintenance requests

Request Template

  • Forms that can be reused for efficiency and consistency. There are three different template types: Request template, Work order template, Preventive maintenance template

Salvage Value

  • the estimated book value of an asset after depreciation

Serial Number

  • unique number given to every asset

Status

  • the situation of a work order, such as on-hold, waiting for part, or completed

Storeroom

  • location where tools and parts are kept

Subscription

  • An amount of money that customers pay based on agreed terms to have access to CMMS. This is based on user licenses

Sub-location

  • Specific space within a location

Support

  • a feature in the program you can access from the main menu. This puts you in touch with the Click Maint Support team

  • help or assistance

T

Task

  • An independent piece of work that must be performed to make the work order complete. A work order can contain zero-to-many tasks

Team

  • group of technicians responsible for an asset or location

Templates

  • Forms that can be reused for efficiency and consistency.

Title

  • Name given to a work order, typically what the job is about

Total Cost

  • Total cost of Time, Parts, Additional costs addedt to a work order

Tracking

  • term used to keep information about QR codes that are associated with assets, locations, or parts

U

URL

  • the address from a website

User

  • a person that has a paid login that can directly interact with the software

Users

  • name of a module in the program that contains User information based on a single Entity. From this module you can view, add, and edit User information individually. Master User list if located in the Admin Settings module

V

Vendors

  • name of a module in the system that contains all the vendor or contractor information

  • Outside 3rd parties that are either assigned work orders that aren't done by internal staff or suppliers used to order parts and materials

Vendor Contact

  • information about a person associated to an outside vendor

W

Warranty Expiry Date

  • the date issued to an asset in which a warrant is no longer valid

Work Orders

  • A module in the system that contains all work order data

Work Order

  • Record of work on an asset, location, or piece of equipment, reactive or preventive

Work Type

  • Either Reactive (manually created unexpected work orders) or Preventive (automatically generated regularly scheduled work orders)
