Create a Preventive Work Order (PM)

Create work order that automatically generate for all your regularly scheduled maintence.

There are two types of work orders - Reactive and Preventive.

  • Reactive - unplanned, adhoc maintenance work order, created manually. To learn more about Reactive, see the Create a Reactive Work Order article.

  • Preventive - reoccurring, regularly scheduled work order, auto-generated.

The "Work Order" button is the same in the Work Orders and the PMs module. It opens the New Work Order form. If you create a Reactive Work Order, it goes to the Work Order module as an Active ticket. If you create a PM, the data goes to the PMs module. It shows up in the Work Orders module on the scheduled date.

Guide - Create a PM

  1. From the PMs module, click the +Work Order button in the top right corner to open the New Work Order form.

  2. Add the *required fields of information, then any other option field.

Admin Users can customize which fields are included on the work order form and which are *required from the Admin Settings module.

  • Upload images - add files/docs/images about the work order

  • *Title - what the job is about

  • Description - up to 30,000 character limit about details of the job

  • Priority - level of severity or importance

  • Category - group or department

  • Assign to - technician to do the job

  • Work Type - select Preventive

  • Schedule

    • One-Time - one Preventive work order

    • Persistent - repeats regularly based on a calendar date

    • Floating - repeats on a time frame after the previously completed

  • Starting From - date in future the first ticket generates

  • Time to Complete - time frame the work order should be finished by

  • Location - where the work needs to be done

  • Asset - equipment to work on

  • Vendor - outside contractor

  • Checklist - multiple tasks to note and complete

  • Status - current situation of work order

  • Time - amount of time by technician

  • Parts - quantity and replacement needed

  • Other costs - invoice associated

3. Click the Save button in the top right corner of the form.

To see all Preventive work order data, go to the PMs module. Note - these aren't work orders but where you store your PM information in the system. Once the PM generates, find the Active work order in the Work Orders module.

Guide - Edit a PM

Here are the steps to edit the information on a PM or change the schedule, so moving forward, all future PMs have the same details.

  1. Select PMs Module from the main menu.

  2. Click on the name of the PM you wish to edit to open the PM detail card.

  3. Click on the Edit button to open the Edit PM form and click in any field to make the changes. If the Edit button is grey, you don't have the correct user permissions to make changes.

  4. Don't forget to hit the Save button to keep the changes.

    Moving forward, any new PM will contain the new PM details.
