A maintenance procedure is a detailed, written list of instructions on specific maintenance tasks. To include Procedures in your work order, an Admin user must Enable Procedure in Admin Settings. Then you can start to create, edit, or delete procedure templates from the Procedures module.

Create Guide
After enabling Procedures, you can create a procedure template within the module and attach it to any existing or new Reactive or Preventive work order.
Select Procedures module from the main menu.
Click the +Procedure button to open the New Procedure form.
Click in the Procedure name field and give your procedure template a title.
Click in the Description field to describe the procedure template you're about to create.
Optional to include an attachment to the template. This makes an image, doc, guide, etc. about the procedure easily accessible by technicians from a work order.
Hit Save.
Click on the New Item button to open the New Procedure Item window.
In the Task name/description field, list or enter details of the first task for your procedure.
Optional to include an attachment about the item (image, doc, spec, manual, drawing) to help the technician.
Select one of the following data item types from the Step Type dropdown menu:
Checkbox - requires a checkmark
Date - requires a date entry
Image / File - upload or drag a file, spec, doc, picture etc.
Inspections - logs a Pass, Flag, or Fail
Multiple choice - customizable and allows more than one selection
Number - allows a numerical entry
Signature - collect a signature
Text - allows typed answer
Yes, No, or N/A - requires one selection
Repeat. Click the New Item button and add as many tasks and data items to the procedure as needed.
Click Save and your Procedure template is now located in the module's list view. This template is now available to be added to any existing or new Reactive or Preventive work order.
Simple locate the Procedure section and click the Add Procedure button to select the template from the dropdown.
Templates are global and available to any entity in your system. This is to standardize your procedures. |
Note that Comments can be made after each item on your procedure template, viewed by whom, and time-stamped when.
Edit Guide
From the Procedures module, click the name of your Procedure from the Title column in the list view to open the Procedure detail card.
Click the Edit button to reopen the original New Procedure form.
Click on Edit associated with a specific item to modify.
Make your changes and Save in the Edit Procedure Item window.
After any edit to a procedure template, only new work orders will include the changes.
Delete Guide
You can delete the whole procedure or specific tasks within the procedure.
Deleted procedures, or tasks remain on existing active work orders but won't be available moving forward. |
To delete a whole procedure:
Click on the name to open the Procedure detail card.
Click on the three dots icon.
Select Delete from the dropdown.
Procedures are global. If you delete a template, it deletes them from all entities in your program. |
