All about the Procedures features and functions via the mobile app

A procedure is a set of instructions on specific maintenance tasks. You can create and edit Procedure templates in the desktop version. Then, add Procedure template to any new or existing Reactive or Preventive work order from the mobile app. How to add, view, edit, and complete a procedure is easily done on the app, while on the go. This guide shows you how.

Add a Procedure to a New Work Order

Adding a Procedure to new work orders means it is either linked to your one-time Reactive or always included in your repeating Preventive.

  1. From a new work order form, locate the Procedures section and tap on +Select Procedures.

  2. Select the Procedure template you'd like to add. These templates must be created from the desktop version. A checkmark shows selected.

  3. Click on Back.

  4. Hit the Save button or Cancel to discard the edit.

Add Procedure to an Existing Work Order

Adding a Procedure to an existing work order means it is only linked to this one particular work order.

  1. From the Work Orders module, tap on the name of a work order to open it.

  2. Tap on the edit icon from any work order, if you have permission to do so.

  3. Scroll down and locate the Procedures section and tap on +Select Procedures.

  4. Select Procedure from the list. Checkmark shows selected.

  5. Tap on Back.

  6. Tap on Save.

View a Procedure on a Work Order

Take a look at what the procedure involves and what's been done.

  1. From the Work Orders module, tap on the name of any existing work order to open. Note any items in the Procedures & Checklists tab.

  2. Tap on the Procedures & Checklists tab to view.

  3. Click Show More to view completed list of items for the procedure. This only displays the procedure list and isn't where items are marked off.

  4. Click on Show Less to collapse the procedure.

Steps

  1. From the Work Orders module, tap on the name of any work order to open it.

  2. Tap on the Procedures & Checklists tab.

  3. Click on the View Procedure button to open and edit.

  4. Depending on the item type, click the area that needs data entered about each item. Entries are auto saved. The item options are:

    • Checkbox - tap in box to mark off

    • Date - select date and time

    • Inspection - select pass/flag/fail

    • Image / File - attach document

    • Multiple Choice - tap to open and select

    • Number - enter a numerical value

    • Signature - sign

    • Text - enter information

    • Yes / No / N/A - tap to open and select

  5. Tap on Back to get back to the list of procedure items. Each item automatically saves once entered.

Complete Procedure on Work Order

  1. Tap on the Completed button at the bottom of the Procedures list only once all items are marked.

  2. Tap on Back to close the Procedures list and get back to the work order.

Admin users may have a Work Order Setting for Procedure setting enabled, which requires a comment if the procedure hasn’t been finished. If this applies, you’ll see a notification like the one shown below when changing the status to In Review or Completed. Tap on the Comment tab to add info on why the work order procedure wasn't completely marked off.
