How to bulk import location data using the import data tool

Click Maint’s data import feature allows admin users to quickly enter and upload location data from spreadsheets. This self-service importer is a huge time saver and offers simple or extensive guidance. This guide shows you how.

Watch to see the steps needed to add data manually. This displays the suggested method when using the import tool. You have the option to export the spreadsheet and complete data entry at a later time, from your computer file. You can follow the same initial steps but opt to upload the file when done. Once you have finished importing your locations, you have the option of editing any item from the Locations module, if needed. Take a look at the gif to show how.

Guide

For best results, we recommend importing your module data in this order: Locations > Vendors > Assets > Parts > Procedures >PMs.

  1. Admin users can click on the Admin Settings from the main menu.

  2. Click the Import Data tab.

  3. Select the Location button to open the tool. Note the steps timeline across the top to understand where you are in the process and help guide you.

4. There are two options to prepare your data before you upload the spreadsheet.

  • Manually enter your data option - suggested method when starting from scratch
    This allows you to view the tool's spreadsheet and recommended fields and formats. You don't have to add all the data in one sitting but can export it, add to the spreadsheet, then import later.

  • Download template option - suggested if adding more data to a module.

    Good when you need to add a few more items to a module at once.

  • All Entites must be created before you import.

  • Parent Locations must be added first in the spreadsheet.

  • Use consistent and clean formatting - e.g. Room 1, not room two, but Room 2

  • Exact duplicates are recognized but are case-sensitive - e.g. room 1 and Room 1 aren't considered duplicates and are considered unique

  • Import in 50-100 batches to make adjustments easier if needed

"Manually enter your data" Option

You can enter data manually right away, or you can export the spreadsheet once you understand the data and formatting needed. You'll be guided by the tool.

  1. ​Click the "Manually enter your data" button to open the spreadsheet in the program.

  2. Start in row 1, and select the previously created entity name from the Entity column drop-down.

  3. Add parent locations first, then type in any other column details in the row. This allows the system to recognize parent hierarchy and allow sub-locations.

  4. Review and edit any field highlighted in red. The tool tips help identify any errors or inconsistencies that must be fixed.

  5. Option - Find and Replace button opens a window and allows you to bulk-edit. You can search for terms and replace multiple items at once based on keywords.

  6. Option - Transform Data button opens a window to an AI tool that lets you search for words or find ideas on how to improve the edits of your spreadsheet.

  7. Option - Export button allows you to download spreadsheet to your computer. You can finish your data entry locally on your computer and come back to Click Maint to upload at a later time.

  8. Click the "Finish" button.

  9. Select the "Yes" button to continue or the "No" button to go back.

  10. If you select "Yes", a confirmation notification appears when the upload is complete. Your Locations are now in the Locations module. Each location can be edited individually from there.

"Download template" Option

This is a good option is you have additional data you want to add to the program.

  1. Click the "Download template" button to save the spreadsheet template to your computer.

  2. Add data to the spreadsheet template.

  3. Go to Admin Settings> Import Data tab> Locations button to open tool.

  4. Click and drag, or click on "Choose File" to import the spreadsheet template from your computer. CSV, TSV, TXT, XLS/XLSX, and XML, though Excel and CSV are accepted.

    Once the upload is finished, a confirmation message appears. Your locations are now in the Locations module.
