Parts On Hand vs. Available

What's the difference between the parts you have "on hand" vs "avaiable". We explain.

In Click Maint inventory, Parts On Hand and Parts Available represent two different quantities of the same part.

Parts On Hand

Definition:
The total physical quantity of a part currently in inventory, regardless of whether it is already allocated to work orders.

  • It’s the actual stock count in your storeroom or inventory location.

  • This number is manually adjusted or updated when parts are:

    • Added to inventory

    • Consumed on work orders

    • Adjusted by inventory updates

Example:

  • You physically have 10 filters in the stockroom → On Hand = 10

The import templates also describe this field as:

“How many are currently on-hand.”


Parts Available

Definition:
The quantity that is still available to use, after subtracting parts already reserved/assigned to work orders.

Formula conceptually:

Available = On Hand − Reserved for Work Orders

Example:

  • On Hand = 10 filters

  • 3 filters already assigned to open work orders

➡ Available = 7

This helps technicians know what can still be used, not just what physically exists in inventory.


Why Click Maint Shows Both

Using both values prevents issues like:

  • Double-using the same part on multiple work orders

  • Thinking stock is available when it’s already reserved
