Updated over a week ago

This guide explains the information shown in the Maintenance Backlog by Assignee report. Those are active work orders that are overdue along with assigned to field information, such as technicians or not assigned.

  3. View the data in the KPI section and charts across the top. The data is based on the current time frame. This means all Reactive and Preventive work orders that are yet to be completed by this moment.

  4. Click on Filters to add conditions or rules to the report.

  5. Click on the export icon to download the report, save it, and print. Right-click on the report and click print to keep as a pdf.

  6. Click on the report name dropdown to quickly get to another report.

  7. Use the back arrow to get back to the main Reports & KPIs page.

Benefits

The Backlog by Assignee report uncovers a potential issue (backed-up work orders) and provides valuable information for effectively distributing work and increasing productivity. Here are some of the report's benefits:

  • Visibility & Transparency - shows exactly how many open work orders each technician is responsible for.

  • Workload balance - shows if one technician is overloaded while others have capacity, managers can redistribute tasks.

  • Better Planning & Forecasting - managers can forecast staffing requirements and justify overtime or additional hires.

  • Continuous Improvement - an ananlysis or backlogs tied to certain roles or shifts may reveal systemic issues (e.g., spare parts delays, inefficient workflows).
