An article to answer all your questions about QR Codes in Click Maint

Consider QR codes (quick-response codes) a label system for your assets, locations, or parts. Each item needs to have its own unique code assigned to it. Once a code is created, you must print it, then physically label each item. Then, you can use the app and camera on your phone to scan the code and easily access the item's information. Create QR Code

From the program, you can create a code for one item (asset, location, or part) at a time or in bulk.

How?

From the Asset, Location, or Parts module, simply click on the image icon next the the item name. Click on the Barcode Icon to open the window and confirm you'd like to generate.

Once you generate the QR code, you're prompted to print. This doesn't have to be done immediately. You have the option to print when ready.

Enter Pre-Existing QR Codes

Yes, you can enter your pre-existing QR codes. This can be done manually, one at a time or we can help bulk import them from our spreadsheet. Connect with the support team for more information about importing your QR Codes in bulk.

How?

Again, from the correct module, when you add or edit the asset, location, or parts details there's a QR Code field. Click in the field and enter your pre-existing code linked to this item. The other option is to hit Generate Code to create a brand new one for this particular item. To learn more, see our Create or Add Existing QR Codes article.

Print

Once you have created a unique QR code for each item you want to easily track, you need to print the code.

How?

From the Assets, Locations, or Parts module, choose all or click on the image icon next to the names you want to print. Click the Barcode icon in the Name column header.

If each item already has a barcode, you can select to print each code individually on one piece of paper or several per A4 page.

If no code is available for any of your chosen items, you'll either need to create one or print the ones that have a QR code. To learn more, see our Print QR Codes article.

Print Material

What do I print QR Codes on?

You can print your QR codes on different materials, but think about where you need to put them. Regular printing paper could work, but polyester, vinyl, aluminum-quality paper, or even metal may be better choices. Make sure the material can handle the environment. Keep in mind things like chemicals, moisture, and sunlight at your location. Is the adhesive on your printed QR code material going to stay stuck for a long time? Label

Once you have your barcodes created for each item and printed, you now have to physically label your asset, location, or part.

How?

Go to the Assets, Locations, or Parts module in Click Maint and hit the export icon.

This allows you to save the list view columns onto a spreadsheet. Print that spreadsheet information complete with item name and associated bar code. Start taping, slapping, or drilling that code to the clean-surfaced item. The location for the QR code should be both to see and access.

Scan

You'll need to download and log into the Click Maint CMMS mobile app. Learn more from the Install the Click Maint App guide. Once logged in, your mobile device and camera act as a scanner.

How?

Simply open the Click Maint CMMS app and click on the QR Code icon to open the module. Focus your mobile device on a QR Code. This reads or scans the QR code and opens a new window. Depending on your user permissions, you can now submit a request, create a work order, or view the detail card for the associated item. It's that easy.
